Finance Coordinator

The Henry L. Stimson Center seeks a detail-oriented accounting and administrative professional to join the team. The Finance Coordinator will support the Director of Finance & Administration and Associate Director of Finance with array of financial functions, budget and grants management, HR administration, record keeping, planning and analysis, and general operations. The ideal candidate is energetic, proactive, and a problem-solver who juggles multiple priorities with ease and efficiency. 

Essential Functions:
  • Perform AP and AR and related functions;
  • Manage the corporate credit card account;
  • Assist with annual audit preparation;
  • Assist with payroll processing;
  • Assist with HR functions including recruitment/hiring/onboarding/termination of staff, and benefits administration;
  • Develop and manage grant budgets for new and continuing programs and projects;
  • Prepare monthly/quarterly/periodic financial reports for assigned programs;
  • Maintain grants/consultants/invoices databases and the filing systems;
  • Manage the grants proposals and reports calendar and timeline;
  • Assist with program budget analysis;
  • Assist in developing and maintaining processes and systems;
  • Provide general operations and administrative support as instructed by the Director of Finance and Administration;
  • Prepare agendas, memos, policies, reports and correspondence; and
  • Fill in for the Office Manager when needed.

Qualifications:

  • A bachelor’s degree in finance and/or accounting;
  • Work experience of 2 years and/or life experience that is in line with the nature of the job;
  • Meticulous organizational skills, attention to detail, and love for processes and systems;
  • Customer service focus with strong interpersonal skills;
  • A willingness to work in a fast-paced environment and an ability to respond to requests quickly;
  • Strong verbal and written communication skills;
  • Demonstrated ability to plan, prioritize and schedule work activities while managing time efficiently. Ability to follow instructions as may be directed, but capacity to self-manage. Willingness to solicit and impart feedback to improve processes;
  • An innovative spirit, a way with people, a calm-under-pressure and flexible approach when things move quickly;
  • Confidentiality and discretion, accountability, professionalism, and commitment to excellence; and
  • Intermediate Excel skills.
  • Familiarity with QuickBooks or similar accounting system preferred.
